Insurance Customer Coordinator

The Insurance Customer Support Coordinator serves as a primary administrative and customer service support resource for insurance agents and customers, focusing on providing timely assistance and ensuring a positive customer experience.

Responsibilities

  • Serve as a first point of contact for customers with routine questions related to insurance documentation, application status, and next steps
  • Provide clear, professional, and empathetic communication to customers via phone, email, and internal messaging
  • Follow up with customers to request missing documentation or clarify administrative requirements
  • Maintain a customer-focused mindset while managing sensitive or time-sensitive situations
  • Support licensed insurance agents by handling administrative tasks that allow agents to focus on customer advising and sales
  • Coordinate communication between customers, agents, and internal teams to ensure smooth processing
  • Track open items and proactively follow up to prevent delays or service gaps
  • Prepare, review, and process insurance forms, applications, and related documents
  • Enter and maintain accurate customer and policy information in internal systems
  • Ensure files are complete, organized, and ready for review or submission
  • Adhere to established procedures and regulatory requirements related to documentation and data handling
  • Identify missing or inconsistent information and escalate issues appropriately
  • Maintain confidentiality and data security standards at all times
  • Assist with reporting, tracking, and basic metrics related to customer service and processing timelines
  • Support special projects and peak-period workloads
  • Perform other administrative duties as assigned

Skills

  • High school diploma or equivalent
  • 1+ year of customer service or administrative experience
  • Strong interpersonal and communication skills
  • Attention to detail with the ability to manage multiple customer requests simultaneously
  • Basic proficiency with office systems and technology
  • Experience in insurance, financial services, call center, or customer support environments
  • Familiarity with CRM or policy management systems
  • Interest in developing a career in insurance operations or client services
