The Fountain Group is currently seeking a Document Control Specialist for a prominent client of ours. This position is in remote working CST hours . Details for the position are as follows: Job Title: Document Control Records Management - Document Control Specialist - Level [1/2/3] Job titles are open! Pay: Hourly rate (based on experience) Duration: 1 year Location: Remote (may require occasional office visits) W2 position only! Job Summary: The Document Control Specialist (DCS) is responsible for managing and controlling all construction project documentation. The DCS will implement and maintain procedures for document control, train and assist team members on their use, and monitor business processes. This role ensures the effective operation of the Document Management System (DMS) and compliance with project-specific requirements.Accountabilities: These accountabilities are primary responsibilities; additional tasks may be assigned by a manager.

  • Oversee and utilize the company’s Document Management System (Oracle Primavera Unifier), including workflows, transmittals, submittals, RFIs, letters, faxes, emails, electronic filing, and other document management tasks.
  • Manage electronic and hard copy filing of project-related technical documentation. Provide internal and external status reports to Project Managers as needed.
  • Collaborate with Project Managers to ensure proper resources are applied at each workflow step. Monitor workflow data for potential risks and communicate findings to the project team.
  • Provide training to company and partner users to support effective use of the DMS.
  • Act as the subject matter expert for all project-related document control, including ensuring compliance with contractual and commercial terms.
  • Assist QA/QC in auditing construction document control efforts; maintain up-to-date project document lists. In the absence of QA/QC, perform audits as needed.
  • Interface with Records Management for long-term storage and archiving of documents.
  • Coordinate with vendors, contractors, suppliers, and other service providers to ensure technical content accuracy.
  • Perform all work under supervision of a manager.

Qualifications: Education:

  • Bachelor’s Degree preferred in business, technical, engineering, construction management, document management, or related field.
  • Related experience may be considered in lieu of degree.

Experience Requirements:

  • Level 1: 5-10 years of relevant experience
  • Level 2: 10-15 years of relevant experience
  • Level 3: 15+ years of relevant experience

Other Requirements:

  • Must possess a valid driver’s license.

Knowledge, Skills, and Abilities:

  • Proven experience with construction document control and management practices.
  • Oracle Primavera Unifier:
  • Level 1 - preferred
  • Level 2 & 3 - required
  • Oracle Primavera P6 experience preferred.
  • Familiarity with other project/document management systems is desirable.
  • Ability to analyze and solve problems of moderate to complex nature.
  • Proficiency with computer software (email, word processing, spreadsheets, project management tools).
  • Ability to exercise sound judgment, flexibility, initiative, and commitment in a fast-paced environment.
  • Strong interpersonal, verbal, and written communication skills.
  • Knowledge of electric and steam generation operations preferred.
  • Experience in electric utility, oil & gas, or highly regulated industries preferred.
