Job Summary

The Data Entry and Accounting Support Specialist will be responsible for providing daily support to the accounting department, with a focus on processing vendor invoices, managing accounting responsibilities, and assisting with various projects. This position will report directly to the CFO and will serve as a valuable member of our accounting team. The ideal candidate will have a strong background in data entry, account reconciliations, and financial administration, as well as excellent communication and interpersonal skills.

Key Responsibilities

  • Daily processing of incoming mail, including sorting, categorizing, and distributing correspondence to relevant departments
  • Daily data entry of vendor invoices and credits, ensuring accuracy and attention to detail
  • Issuance of vendor lien waivers and management of related documentation
  • Processing of vendor checks, including preparation, review, and distribution
  • Preparing outgoing checks to vendors, ensuring timely and accurate payment
  • Retrieval of online bills from various vendors, including management of login credentials and navigation of vendor websites
  • Communicating with vendors and property staff, including responding to inquiries, resolving issues, and providing support
  • Processing City of Norman water bills and resident adjustments, including management of billing cycles and payment schedules
  • Preparation of Quarterly Reserves for lenders, including compilation of financial data and preparation of reports
  • Assisting with property tax related items, including research, analysis, and preparation of tax returns
  • MUB Billings, including management of billing cycles, payment schedules, and customer communication
  • Processing tenant deactivations, including management of lease agreements, security deposits, and move-out procedures
  • Processing intercompany related billing and credits, including management of internal accounting systems and financial reporting

Essential Qualifications

To be successful in this role, you will need to have:

  • At least two years of related experience in data entry, accounting, or a related field
  • Proficiency in account reconciliations, including management of financial statements, ledgers, and journals
  • Excellent computer skills, including proficiency in Microsoft Office, particularly Excel, Word, and Outlook
  • Very strong attention to detail and analytical thinking skills, including ability to identify and resolve discrepancies
  • Must be very detail-oriented and able to multi-task, including management of multiple projects and deadlines
  • Excellent communication and interpersonal skills, including ability to work effectively with vendors, property staff, and internal stakeholders
  • Strong analytical and problem-solving skills, including ability to research, analyze, and resolve complex issues

Preferred Qualifications

While not required, the following qualifications are preferred:

  • Experience with accounting software, including QuickBooks, Xero, or similar systems
  • Knowledge of financial regulations, including GAAP, tax laws, and compliance requirements
  • Experience with data analysis, including ability to compile and interpret financial data
  • Strong organizational and time management skills, including ability to prioritize tasks and manage deadlines
