POSITION TITLE : Bid Coordinator INDUSTRY: Commercial Construction EMPLOYMENT TYPE: Full-Time | Remote DRIVE PROJECT BEFORE THEY BREAK GROUND Osborne is seeking a proactive, detail-driven Bid Coordinator to support our estimating team in securing competitive subcontractor and vendor participation on commercial construction projects. This is more than a general administrative role. We're looking for someone who is comfortable making outbound calls, building relationships with subcontractors, and keeping multiple bid opportunities organized and moving forward. This role requires experience in construction, estimating support, or a project-based environment. Candidates without relevant experience may not be considered.

What You'll Do

As a Bid Coordinator, you'll support the estimating team by managing bid deadlines, secure subcontractor participation, organizing bid information, supporting permitting and licensing requirements, and preparing projects for a smooth transition into execution. This role requires consistent communication, persistence in follow-up, and the ability to manage multiple active bid opportunities at once--often with tight deadlines.

Key Responsibilities

Include

  • Solicit subcontractor bids through outbound calls, emails, and follow-up communication
  • Build and maintain relationships with subcontractors across multiple trades and regions
  • Track bid coverage and ensure adequate participation for each project
  • Organize and maintain bid documents, plans, and scope information
  • Assist estimators with bid leveling and subcontractor comparisons
  • Coordinate with internal teams to ensure accurate and complete project setup (JobPlanner, file structures)
  • Support subcontractor onboarding by proactively collecting and verifying required documentation (W-9s, insurance certificates, agreements, etc.)
  • Ensure subcontractor records are complete, current, and compliant with company requirements prior to project start
  • Assist with permitting and licensing coordination by gathering required information, submitting applications, and tracking approvals
  • Communicate with local jurisdictions, utilities, and agencies as needed to support permit and licensing processes
  • Follow up consistently to ensure deadlines are met and gaps are addressed
  • Maintain organization and accuracy across all bid-related documentation

What You Need To Bring

  • 1-3+ years of experience in construction, estimating support, or project coordination (preferred)
  • Strong communication skills, including confidence on the phone
  • Ability to manage multiple priorities and deadlines
  • High attention to detail and strong organizational skills
  • Experience with construction project management software preferred
  • Proficiency in Microsoft Excel and general computer systems
  • Ability to learn construction scopes and terminology quickly
  • Valid driver's license and authorization to work in the U.S.
  • Ability to pass a background check and drug screen

Compensation & Benefits

  • Salary: $55,000 - $70,000
