About arenaflex

arenaflex is a leading provider of remote healthcare support services, dedicated to delivering seamless administrative solutions that empower senior communities and healthcare facilities across the United States. Our mission is to combine cutting‑edge technology with compassionate service, ensuring that every client—whether a senior resident, a family member, or a healthcare provider—receives accurate, timely, and empathetic assistance. As a fully remote organization, arenaflex offers flexible work environments, robust professional development, and a culture that values integrity, collaboration, and continuous improvement.

Why This Role Matters

In today’s fast‑moving senior care ecosystem, the accuracy of data entry directly impacts patient outcomes, operational efficiency, and regulatory compliance. As a Remote Data Entry Clerk at arenaflex, you will be the backbone of our order processing and transitional care coordination teams. Your meticulous attention to detail will help seniors transition smoothly between care settings, ensure insurance benefits are correctly verified, and keep our referral pipelines flowing without interruption.

Key Responsibilities

Order Processing & Production Ticket Management

  • Prioritize incoming customer orders, confirming that each order’s content matches the accompanying order form.
  • Enter complete order data, including notes, special instructions, and any required attachments, into the centralized order management system.
  • Generate computer‑produced production tickets that trigger downstream workflows for manufacturing, shipping, or service delivery.
  • Edit and proofread orders for accuracy, correcting any discrepancies before forwarding them to the next processing stage.
  • Maintain an organized digital queue, ensuring that no order is left unattended for longer than the established service level agreement.

Transitional Care Coordination & Insurance Verification

  • Provide facility‑related information to customers via courteous and knowledgeable telephone conversations.
  • Collaborate closely with insurance carriers to determine patient benefits, eligibility, and coverage limits for skilled nursing stays.
  • Enter new business referrals promptly into the referral management system, assigning appropriate priority levels.
  • Communicate regularly with facility staff and clinical liaisons to confirm referral status, required documentation, and discharge planning details.
  • Perform benefit verifications using multiple insurance portals, documenting findings accurately and updating the patient record in real time.
  • Demonstrate a sense of urgency and accountability, meeting daily processing targets while maintaining high data quality standards.

Essential Qualifications

  • High school diploma or GED required; associate’s degree in health administration, business, or a related field preferred.
  • Minimum of 1‑2 years experience in data entry, order processing, or healthcare admissions.
  • Demonstrated ability to work independently in a fully remote environment, managing time and priorities without direct supervision.
  • Excellent written and verbal communication skills, with a focus on clarity and professionalism when interacting with seniors, families, and insurance representatives.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with cloud‑based CRM or ERP platforms.
  • Strong analytical mindset, capable of spotting inconsistencies, reconciling data, and performing quality checks efficiently.

Preferred Qualifications & Additional Skills

  • Experience in senior living, assisted‑living, or skilled‑nursing facility environments.
  • Knowledge of Medicare, Medicaid, and private insurance verification processes.
  • Prior exposure to referral management software such as ReferralMD, CareBridge, or similar platforms.
  • Certification in medical coding (CPT, HCPCS) or a related credential is a plus.
  • Ability to multitask across multiple queues while maintaining a high degree of accuracy.
  • Demonstrated commitment to continuous learning, with a willingness to pursue tuition assistance or certification opportunities offered by arenaflex.

Core Competencies for Success

  • Attention to Detail: Every data point matters; you will consistently verify, cross‑check, and correct information.
  • Customer‑Centric Mindset: Treat each interaction as an opportunity to enhance the experience of seniors and their families.
  • Time Management: Balance high‑volume order entry with thorough benefit verification without sacrificing quality.
  • Problem‑Solving: Identify root causes of data discrepancies and propose process improvements.
  • Technical Agility: Quickly adapt to new software tools, portals, and workflow updates.
  • Team Collaboration: Even as a remote worker, you will actively participate in virtual huddles, share insights, and support peers.
