[Remote] LEGAL SUPPORT SPECIALIST – California Trust & Estates

Fennemore is a full-service business law firm with over 140 years of excellence, seeking a Legal Support Specialist with California Trust & Estates experience. The role involves managing high-volume legal document preparation and support for Trust & Estates matters in a fast-paced environment.
Responsibilities
- Prepare, format, proofread, and revise estate planning, trust administration, probate, and related legal documents, ensuring accuracy, consistency, and compliance with firm standards
- Draft routine legal documents and correspondence, including wills, trusts, powers of attorney, healthcare directives, trust certifications, probate forms, and related supporting documents
- Create, revise, and assemble complex document packages, signature packets, estate planning binders, and closing materials
- Assist with probate, trust administration, and trust and estate litigation matters by preparing forms, notices, correspondence, exhibits, and supporting documentation
- Organize and maintain electronic files and matter records in accordance with firm procedures
- Perform high-volume document revisions, comparisons, and cleanup with a strong focus on accuracy and attention to detail
- Prepare tables of contents (TOC), document indexes, exhibit binders, and other compilation materials as needed
- Process expenses, assist with billing activities, track and enter billable time
- Collaborate with attorneys, paralegals, and the Legal Support Hub to ensure timely, high-quality work product
Skills
- 5+ years of experience supporting Trust & Estates in a law firm environment with California state and federal filings
- Strong command of legal formatting, proofreading, and document production standards
- Advanced proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Experience with document management and time entry systems
- High level of accuracy and attention to detail in a fast-paced environment
- Ability to manage competing priorities and meet tight deadlines with minimal supervision
- Strong communication skills and a proactive, team-oriented approach
