Key Responsibilities – What You’ll Do Every Day

  • Process Payroll‑Related Payments: Receive notifications from the payroll department and accurately key driver payments into the system.
  • Maintain Customer Balances: Enter all adjustments required to keep customer accounts balanced, ensuring that every transaction is reflected correctly.
  • Validate Payment Batches: Review printed edits to confirm that payment batches reconcile, guaranteeing proper credit to each customer account.
  • Organize Batch Documentation: Log, date, and file batch records in the correct chronological order for easy retrieval and audit compliance.
  • Update Customer Master List: Keep a complete and accurate electronic and printed customer list, reflecting any status changes such as charge‑to‑cash, cash‑to‑charge, address updates, or minor modifications.
  • Monitor Cash Receipt Logs: Follow up on cash receipt logs to verify accuracy and ensure distribution to the appropriate personnel.
  • Timely Data Entry: Complete all keying tasks within 24 hours of receiving source documents, maintaining a rapid turnaround that supports downstream processes.
  • Daily Proof Book Logging: Record totals from the Accounts Receivable (A/R) transaction ledger into the daily proof book and route collections accordingly.
  • Month‑End Close Support: Enter all required data on the final working day of each month, confirming that statements are accurate and fully calculated before month‑end close.
  • Collaborate with Credit Management: Assist the Credit Manager with additional duties as needed, contributing to a seamless credit and collections workflow.

Essential Qualifications – What We Require

  • Proven experience with Microsoft Excel, Word, and Outlook in a professional setting.
  • Demonstrated ability to type accurately and efficiently (minimum 60 wpm) with a strong eye for detail.
  • Prior experience in a data entry, accounts payable, or accounts receivable role is highly preferred.
  • Excellent organizational skills and the ability to manage multiple priorities under tight deadlines.
  • Strong written and verbal communication skills, enabling clear interaction with internal teams and external partners.
  • Self‑motivated, reliable, and comfortable working independently in a fully remote environment.
