Position Summary

As a Clinical Support Services Agent at arenaflex, you will serve as the essential first point of contact for incoming calls from patients, family members, and medical providers. Your primary responsibility will be to receive each call, gather pertinent information from the caller, and efficiently relay that information to the appropriate clinician. While the role does not involve clinical decision-making or patient care, it is the backbone of the patient experience at arenaflex — ensuring that every caller feels heard, supported, and professionally assisted.

Key Responsibilities

  • Receive and process incoming calls from patients, families, home hospice agencies, home health providers, home infusion agencies, and medical professionals across the country.
  • Gather accurate and relevant information from each caller, ensuring all necessary details are documented for clinician review.
  • Relay gathered information to clinical staff in a clear, concise, and timely manner.
  • Maintain a professional, calm, and empathetic demeanor on every call — even when callers are emotionally distressed or expressing frustration.
  • Navigate difficult conversations with composure, redirecting emotionally heightened callers toward productive outcomes without taking comments personally.
  • Utilize Microsoft Office applications, internal call center software, and internet-based platforms to document and manage call information.
  • Manage fluctuating call volumes effectively, transitioning between high-demand periods and lower-volume downtimes with professionalism.
  • Adhere to all arenaflex policies, procedures, and confidentiality standards, including HIPAA compliance.
  • Participate in ongoing coaching, performance evaluations, and professional development opportunities.
  • Work scheduled evening, weekend, and holiday shifts as required, with holiday hours paid at time and a half.

  • Willingness to work evening and weekend shifts as part of a regular schedule.
  • Willingness to work on holidays, with holiday hours compensated at time and a half.

  • Ability to pass a background check as part of the interview process.

Training and Onboarding

All new hires will begin with a comprehensive two-week orientation and training program held at our Gilbert, Arizona training center, Monday through Friday. During this immersive training period, you will learn about arenaflex systems, call handling protocols, compliance requirements, and the nuances of working with hospice, home health, and infusion agency partners.

Following the successful completion of in-person training, you will transition into your permanent remote work-from-home arrangement. Training is fully paid, and you will be supported every step of the way by experienced trainers, team leads, and mentors who are invested in your success.
