Why This Role Matters

As a Remote Data Entry & Trade Reconciliation Assistant, you will be the backbone of arenaflex’s daily operations, ensuring that every trade, transfer, and dividend transaction is accurately recorded, reconciled, and reported. Your meticulous attention to detail protects client assets, maintains regulatory compliance, and directly contributes to the firm’s reputation for reliability and trustworthiness.

Key Responsibilities

  • Trade & Transfer Reconciliation: Review, validate, and reconcile buy‑sell transactions across client accounts, identifying and correcting breaks between arenaflex and fund administrators or counterparties.
  • Business Activity Event Processing: Accurately process and reconcile business activity events, including corporate actions, dividend distributions, and transfer activities.
  • Exception Management: Investigate and resolve complex or escalated exceptions, providing clear documentation and timely communication to internal teams and external partners.
  • Technology Testing & Validation: Participate in testing of new system enhancements, vendor updates, and automation tools, ensuring seamless integration with arenaflex’s workflow.
  • Regulatory Compliance: Apply relevant regulatory frameworks (e.g., Rule 2340, Rule 15c3‑3) to ensure all reconciliations meet compliance standards.
  • Client & Advisor Support: Respond to inquiries from retail and institutional clients, advisors, and partner firms via email, phone, and arenaflex’s internal collaboration platform.
  • Documentation & Reporting: Generate daily, weekly, and monthly reconciliation reports, highlighting exceptions, resolutions, and trends for senior management review.
  • Continuous Improvement: Propose process enhancements, automation opportunities, and best‑practice guidelines to reduce manual effort and increase accuracy.

Essential Qualifications

  • High school diploma or equivalent; associate or bachelor’s degree in finance, accounting, business, or a related field is preferred.
  • Minimum 1–2 years of experience in data entry, trade reconciliation, or financial operations within a brokerage, fund administration, or similar environment.
  • Strong understanding of trade life‑cycle, settlement processes, and corporate actions.
  • Proficiency with Microsoft Excel (pivot tables, VLOOKUP, macros) and experience using financial data management systems.
  • Exceptional attention to detail and ability to spot discrepancies in large data sets.
  • Excellent written and verbal communication skills; ability to convey complex issues clearly to both technical and non‑technical audiences.
  • Demonstrated ability to work independently in a fully remote setting while meeting strict deadlines.
  • Familiarity with regulatory requirements such as Rule 2340 and Rule 15c3‑3.

Preferred Qualifications

  • Bachelor’s degree in Finance, Accounting, Business Administration, or a related discipline.
  • Experience with arenaflex’s internal platforms (e.g., arenaflex Collaboration Hub, arenaflex CRM) or similar enterprise tools.
  • Knowledge of tax coding for dividend income and ability to correct tax‑related errors.
  • Prior exposure to automated reconciliation tools or robotic process automation (RPA) solutions.
  • Certification such as Certified Financial Services Auditor (CFSA) or similar.
