About arenaflex – Pioneering Seamless Digital Transitions in Healthcare

arenaflex is a forward‑thinking technology partner that empowers healthcare providers, clinics, and medical networks to modernize their operations through secure, user‑friendly applications. Our mission is to eliminate friction in the digital transformation journey, ensuring doctors, nurses, and administrative staff can focus on patient care rather than technology headaches. As a rapidly expanding remote‑first organization, arenaflex blends cutting‑edge software development with a culture of collaboration, continuous learning, and genuine respect for work‑life balance.

Why This Role Matters

We are in the midst of a critical migration from our legacy platform to the next‑generation Beacon‑to‑Link solution. This transition directly impacts thousands of healthcare professionals who rely on our tools to manage patient records, schedule appointments, and coordinate care. As a Data Entry Specialist (Typist) & Application Administrator, you will be the linchpin that guarantees a smooth, error‑free migration for our clients, minimizing downtime and preserving the integrity of vital health data.

Key Responsibilities

  • Precision Data Entry: Accurately input organization, account, user, and order data into the new Link system, maintaining a minimum typing speed of 40 words per minute without sacrificing quality.
  • Bilingual Communication: Provide clear, courteous support in English; leverage Spanish language skills when assisting Spanish‑speaking users to broaden our service reach.
  • Application Administration: Perform entry‑level admin tasks such as user provisioning, permission audits, and basic troubleshooting within the Link environment.
  • Tool Development Collaboration: Work closely with the development team to build, test, and refine migration utilities that automate repetitive tasks and improve overall efficiency.
  • Help‑Desk Tier‑1 Support: Triage incoming support tickets, resolve common issues, and escalate complex problems to senior engineers as needed.
  • Documentation & Reporting: Maintain detailed logs of migration activities, document any data discrepancies, and generate daily status reports for project stakeholders.
  • End‑User Training: Guide clients through the setup of their organizations and user credentials, ensuring they feel confident navigating the new platform.
  • Shift Flexibility: Adapt to rotating shift schedules (8 AM‑5 PM, 9 AM‑6 PM, 10 AM‑7 PM, or 11 AM‑8 PM EST) to align with divisional support needs across multiple time zones.

Essential Qualifications

  • High school diploma or equivalent; additional certifications in office administration, data management, or IT support are a plus.
  • Demonstrated proficiency with Microsoft Word and Excel, including formulas, pivot tables, and data validation techniques.
  • Minimum typing speed of 40 WPM with a high degree of accuracy (≤2 errors per 100 words).
  • Strong command of written and spoken English; bilingual fluency in Spanish is highly desirable.
  • Prior experience in a Tier‑1 help‑desk or customer support environment, preferably within a SaaS or healthcare technology context.
  • Reliable high‑speed internet connection and a dedicated, distraction‑free workspace suitable for remote work.

Preferred Qualifications & Additional Skills

  • Experience with data migration projects, especially involving user provisioning and account reconciliation.
  • Familiarity with CRM or ERP systems, and basic understanding of database concepts (SQL, CSV imports).
  • Exposure to healthcare terminology and workflows, enabling quicker empathy with end‑users such as doctors and nurses.
  • Ability to troubleshoot basic software issues, perform system health checks, and document findings clearly.
  • Strong organizational skills, with the capacity to manage multiple migration batches simultaneously while meeting tight deadlines.
  • Proactive attitude toward continuous improvement—suggesting process enhancements, automation ideas, or documentation updates.

Core Competencies for Success

  • Attention to Detail: Every data point you enter can affect patient care; meticulousness is non‑negotiable.
  • Communication Excellence: Clear, empathetic interaction with healthcare professionals builds trust and reduces friction.
  • Problem‑Solving Mindset: Quickly identify root causes of data inconsistencies and propose practical solutions.
  • Time Management: Balance multiple priorities across shifting schedules while maintaining high productivity.
  • Team Collaboration: Work hand‑in‑hand with developers, project managers, and senior administrators to achieve shared goals.

Career Growth & Learning Opportunities

arenaflex invests heavily in employee development. As you master data entry and application administration, you will have pathways to advance into roles such as:

  • Senior Application Administrator – overseeing larger migration initiatives and mentoring junior staff.
  • Customer Success Specialist – focusing on long‑term client relationships and adoption strategies.
  • Business Analyst – translating client needs into product enhancements and feature roadmaps.
  • Technical Trainer – designing and delivering onboarding programs for new users and internal teams.

We provide access to online learning platforms, certification reimbursements, and regular internal workshops on topics ranging from data security to advanced Excel techniques.

Compensation, Perks & Benefits

  • Competitive base salary commensurate with experience, plus performance‑based bonuses tied to migration milestones.
  • Comprehensive health, dental, and vision coverage for you and eligible dependents.
  • Generous paid time off (PTO) and flexible holiday policies to support work‑life harmony.
  • Remote‑first work model with a stipend for home office equipment (ergonomic chair, monitor, headset).
  • Monthly wellness allowance, mental‑health resources, and employee assistance programs.
  • Professional development budget and paid certifications to keep your skill set future‑ready.
  • Team‑building virtual events, quarterly “innovation days,” and an inclusive culture that celebrates diversity.

  • Work‑life balance is respected—flexible scheduling, no‑meeting days, and a culture that values personal time.

Interview Process

Our selection process is straightforward and candidate‑friendly. You will:

  • Complete a brief online questionnaire to confirm eligibility and experience.
  • Participate in a 30‑minute video interview with Alfonso, our senior hiring manager, who will explore your technical abilities, communication style, and cultural fit.
  • Engage in a short practical exercise that mirrors real‑world data entry tasks, allowing us to see your speed and accuracy in action.

We aim to provide feedback within 48 hours of each interview stage, ensuring you stay informed throughout the process.
