As a Patient Care Coordinator in our dedicated Sleep Central After‑Hours Call Center, you will be the vital link between arenaflex’s high‑quality medical products and the patients who rely on them. Key Responsibilities

  • Initiate outbound calls to patients to confirm equipment delivery details, gather necessary medical documentation, and verify order accuracy.
  • Accurately transcribe patient information into arenaflex’s online pharmacy and order‑management systems, ensuring compliance with HIPAA and internal data‑security standards.
  • Obtain and review medically necessary documentation, such as physician orders, insurance authorizations, and patient consent forms.
  • Process patient orders through the arenaflex online pharmacy platform, coordinating with logistics teams to schedule timely shipments.
  • Monitor shipment tracking, resolve delivery issues, and proactively reschedule orders to meet patient needs.
  • Troubleshoot equipment‑related concerns reported by patients, escalating complex cases to the clinical support team when appropriate.
  • Verify that each order is complete, correctly labeled, and ready for dispatch, performing final quality checks before release.
  • Maintain meticulous records of all patient interactions, order statuses, and follow‑up actions within the arenaflex CRM system.
  • Collaborate with cross‑functional teams—including clinical, logistics, and billing—to ensure seamless patient experiences.
  • Perform additional duties as assigned, contributing to continuous improvement initiatives and process optimization.

Essential Qualifications

  • High school diploma or GED equivalent; additional education in health administration or related fields is a plus.
  • Demonstrated experience in a medical or healthcare setting, preferably with exposure to home‑medical equipment, patient intake, or medical records management.
  • Strong customer‑service background with a track record of handling high‑volume inbound and outbound communications.
  • Ability to work a flexible schedule that includes every Saturday and Sunday, plus three weekday evenings (shifts start at or after 4:00 PM Central Time).
  • Residency in the United States and proximity (within 60 miles) to any arenaflex location for occasional in‑person requirements.

Preferred Qualifications & Skills

  • Familiarity with medical terminology, especially related to respiratory therapy, sleep apnea, wound care, and diabetes management.
  • Experience using electronic health record (EHR) systems, pharmacy order platforms, or similar healthcare software.
  • Proficiency with Microsoft Office Suite (Word, Excel) and comfortable navigating internet‑based research tools.
  • Exceptional written and verbal communication skills; ability to convey complex information clearly and empathetically.
  • Demonstrated ability to multitask, prioritize, and maintain meticulous attention to detail under tight deadlines.
  • Basic arithmetic proficiency (addition, subtraction, multiplication, division) for order verification and inventory checks.
  • Self‑motivated, organized, and capable of thriving both independently and as part of a collaborative remote team.
  • Valid driver’s license with a clean driving record (required only when occasional on‑site visits are necessary).

Physical & Technical Requirements

While this position is fully remote, you will need to:

  • Maintain a comfortable home office setup that supports prolonged periods of sitting, standing, and walking as needed.
  • Use a computer, tablet, or similar device with reliable internet connectivity for email, CRM, and order‑processing tasks.
  • Read and input small‑print data accurately, ensuring no detail is overlooked.
  • Operate standard office equipment such as fax machines, printers, and phone systems.
  • Demonstrate a basic understanding of home medical equipment operation to answer patient inquiries confidently.
