Company Overview Cambridge Psychology Group (CPG; www.cambridgepsych.org) is expanding our team in the greater Boston area and throughout Massachusetts. We are a multi-specialty center focused on providing evidence-based psychotherapy, consultation, and training for adults and youth in the state of Massachusetts who experience a range of mental health concerns, including anxiety, depression, OCD, ADHD, PTSD, substance use problems, and personality disorders, among many other conditions. Job Summary This is an exciting opportunity to work in a growing psychotherapy practice that aims to provide the highest level of care to clients and be one of the most supportive therapist communities in the region. We are looking to add an Intake Coordinator to our team at CPG located in Arlington, MA. The Intake Coordinator is critical to the operations of our practice. They will help guide referrals through the intake process, which includes fielding initial emails and calls from clients and providers, scheduling and conducting 30-minute clinical intake calls with clients, writing intake reports, matching clients with the right therapist, and assisting clients in completing initial documentation and enrollment in our portal. The person holding this position works closely with directors at CPG and two other Intake Coordinators. The Intake Coordinator will help oversee patient flow, ensure patient satisfaction, and maintain daily operations by working closely with our therapists and staff. This position requires excellent communication skills, initiative, and superb customer service skills. This is a part-time position (20-25 hours). It is primarily a remote, online position, but it would be beneficial (not necessary) if the applicant lived close enough to drive into the office for special occasions. We are looking for someone to work 3-7pm Monday-Friday. This job description does not list all the duties of the job.   • Guide referrals through the intake process, which includes fielding initial emails and calls from clients and providers, scheduling and conducting 30-minute clinical intake calls with clients, writing intake reports, matching clients with the right therapist, and assisting clients in completing initial documentation and enrollment in our portal.
  • Assist in leading and coordinating all aspects of the business office. Help maintain office efficiency particularly as it relates to client intake calls, therapist assignment, registration, and patient flow to enhance patient satisfaction and provider productivity.
  • Responsible for helping to coordinate the day-to-day responsibilities of the office staff and support for therapist operational needs. Uphold our office operations at the highest level of efficiency and best business practices.
  • Help oversee, manage, and create content for all paperwork for patient care, medical compliance and all levels of required reporting to ensure our office and our practitioners are in compliance.
  • Assist in constructing professional letters and emails and maintaining consistency with client and business correspondence.
  • Maintain on-going client electronic files and be able to report on client status Coordinate responses to various audit requests.
  • Coordinate and attend meetings as needed.
  • Comply with all safety policies, practices and procedures. Report all unsafe activities to supervisor and/or Clinic Director.
  • Maintain strict confidentiality at all times on matters pertaining to the company and its associates.

Qualifications

  • Bachelor’s or Master’s degree in Psychology, Business, Healthcare, or closely related field or an equivalent combination of education and experience
  • Minimum of one (1 year) experience in an office setting with relevant responsibilities (e.g., operations, intaking, billing, client support, HR, hiring, etc.)
  • Experience using Excel, PowerPoint, Word, Adobe products, and/or Simple Practice.
  • Preferred but not necessary to have some experience working in the mental health or medical fields
  • Excellent writing, grammar, and business communication skills for emails and official documents
  • Excellent communication skills over the phone and Zoom with clients and staff
  • Detail-oriented, highly conscientious, and able to create self-management systems to prevent mistakes independently. Skilled at checking documents and records for mistakes.
  • Ability to self-manage projects and responsibilities and identify company needs and weaknesses and bring to director’s attention to jointly solve
  • Ability to respond effectively to sensitive inquiries and complaints
