Job Description

Position Title: Events & Logistics Coordinator Date: June 2026 Classification: Exempt Department / Location: In-person, in DC. Remote work is not an option. Reports To: Community Manager Events & Logistics Coordinator - Co-Lab on U Street Co-Lab on U Street, a new kind of co-working facility set to open in September of 2026, is hiring an Events & Logistics Coordinator. This property is a hub for progressive movement collaboration and community-building, and the right fit for this role will blend traditional event management with social impact. We imagine a vibrant ecosystem that fosters good work, open conversations, and serendipitous connections, and you will help to create that environment by creating a welcoming and professional atmosphere by managing the details and key logistics for anyone hosting meetings or other events at Co-Lab. You will also coordinate impactful member events such as workshops, networking mixers, lunch & learns, etc. on a monthly basis. As an organized, action-oriented Events & Logistics Coordinator, you will be the logistics engine of our building. The flexible, efficient Coordinator is an expert generalist, managing vendor relationships, audio-visual (AV) needs, meeting room setup, and on-site, in-person logistics. Your work will ensure our space remains a high-functioning, vibrant, and accessible environment for nonprofits and social entrepreneurs.

Key Responsibilities

Event Planning & Execution (70%)

  • Oversee Convening Space Rentals
  • Act as the primary logistical contact for external community groups renting our event rooms;
  • Manage event setups and breakdowns, including moving furniture, configuring audio-visual (AV) gear, organizing catering, and ensuring all events run smoothly, efficiently, and as envisioned by the group renting the space;
  • During events, act as Co-Lab liaison between external groups and any needs they may have while in the space;
  • Oversee Member Community Programs
  • Develop a plan for monthly community programming opportunities for all members, including monthly turnout goals;
  • Coordinate programming from initial concept through day-of execution, including workshops, panel discussions, fundraisers, happy hours, etc.;
  • Promote upcoming community programming to building members, hitting monthly turnout goals;
  • Oversee all volunteer guest passes and appropriate access to the building for events and day-to-day visitors;
  • Maintain a monthly calendar of events for the entire building; be responsible for the availability of rooms and amenities;
  • Track event metrics and report overall program impact to the Community Manager as measured by attendee numbers, community feedback, and rental revenue.

Building Operations & Logistics (30%)

  • Assist with front-desk coverage, welcoming members, routing guests, and sorting mail during peak operational hours;
  • Maintain daily building readiness; ensure all shared desks, meeting rooms, and common spaces are clean, organized, and fully functional;
  • Troubleshoot facility tech; keep community Wi-Fi networks, printers, projectors, and digital entry systems running smoothly;
  • Ensure all equipment is properly used, stored, and maintained;
  • Liaise with the Facility Manager to ensure all inventory is stocked as needed for upcoming events;
  • Other assignments as needed.

Qualifications:

  • Two+ years of experience in Events & Logistics planning with a proven track record of successful planning for events of up to 100 people;
  • Prior experience working in a co-working facility and/or managing logistics for a nonprofit organization is preferred but not required;
  • Practical knowledge of how to set up multi-media devices, including microphones, Zoom, Owl Cameras, and other related equipment;
  • Proven ability to design event floor layouts and manage spatial logistics without disrupting neighboring co-working members;
  • Ability to manage quick turnaround of event setups, including teardown, moving event furniture, and restocking inventory to ensure the space is fully restored for regular work hours;
  • Vibrant, welcoming demeanor with a passion for community-building and exceptional client relations;
  • Exceptional problem-solving skills and the ability to maintain a calm, professional composure under pressure when technical glitches occur;
  • Open availability to work dynamic shifts, specifically evenings and weekends when the majority of community and rental events take place;
  • Detail-oriented, able to multi-task and manage multiple projects at the same time.

Salary Range & Benefits: $70,000 - 75,000 annual salary and a competitive benefits package Travel Requirements: N/A Location: In-person daily in Washington, DC Physical Requirements: In person, five days a week from 8:30am-5pm.
